My Treadmill Clothes Rack and Rolodex Bookend

Exercise equipment and organizational systems have at least one thing in common: many more are purchased than are used for their intended purpose. All of us know why most treadmills become clothes racks; it has to do with sweat. Today the Taskmaster will offer insights into why organizational systems are abandoned in hopes of helping you find one that won’t be. There are five main reasons for organizational system abandonment.

  1. Too Much Overhead. If a system requires too much effort relative to the effort that it saves, the return on investment is too small and it is abandoned. Multitudes of bells and whistles are great if your goal is to make a lot of noise. If your goal is to get organized, take an Ockham-ish approach by choosing the simplest system that can do the job. Danger, Will Robinson – You Are About to Duplicate Data!

It is astounding how a phrase spoken only once by a fictional robot/guardian on a “B” (at best) television series from the 1960s has entered the English language as a way to call people’s attention to potential mistakes. If you would like the full history of the phrase, and a description of the appropriate arm movements to use when saying it in person, you can visit Wikipedia.

The danger I want to warn you about is much more common than an encounter with hostile extraterrestrials. I hope you will hear the Robot (the character was never given a name) every time you consider making copies of data. This is particularly true of data about people, because of all the things you may keep computerized information about, people are the most likely to change their information in ways that can cause problems if that information is not updated thoroughly and properly. Do leave home without it! Handling work while taking a day off.

One thing you do not want to find packed in your luggage during vacation is nagging worries about what is happening at the office or what will be waiting for you when you get back to the office. You planned your vacation; now plan how to keep nagging worries from the office from casting their shadow on your sunny vacation. As hinted earlier, there are two general areas to consider.

It is good for you most of the time that there are parts of your job that just have to be done right away, or at least people need to know right away when they will be done. Two key strategies here are to find someone to do those things that really must be done right away while you are gone and to make sure people are notified about when to expect those that can or must wait for your return. Automated systems such as voice mail and e-mail can help with the second, and several of the tips in this edition are useful in this regard. As for the first, that is one of the ways to find out who your real friends are.

Confessions of a Former Time Waster

I’ll admit it. I’ve done some pretty time wasting things in the past. Most of these came from surrendering to the siren songs of thoroughness and efficiency. Doing things completely and quickly is a very desirable thing, unless it keeps us from seeing a way to do them more effectively. That was my experience with filing bills after paying them.

At one time, I would file bills by payee immediately after I paid them. This was efficient, but the time was not well spent since I almost never went back looking for the paid bills and would eventually have to handle them again when I ran out of storage space. I took myself to task for this when I realized that I could save a lot of time by putting all the paid bills for a time period in a box labeled with a beginning and ending date. Filing time dropped to almost zero, finding them again if I ever needed to was still pretty easy, and disposing of them when the time came was much quicker and easier. Soon my receipts were also going in the box.

Many people associate the words “cold” and “efficiency,” but they haven’t met the Friendly Taskmaster. He reminds many of our staff of the best sports coaches they have had because of his unflagging enthusiasm for helping us perform better.
